Overview
A Builder's site can require up to three independent sign-offs before people and plant work on it: a person induction (site-wide safety orientation), an equipment induction (this machine, onto this site), and attendance at the site's current toolbox talk. Each is granted separately, recorded separately, and enforced where it bites — at check-in, and at the pre-start.
Before you start
- Plan
- Builder — inductions and toolbox talks belong to site-hosting plans
- Role
- An org Contributor or above manages person inductions and conducts toolbox talks in the console; site officers and site managers induct equipment in the Go app
Person inductions
The site-wide orientation — emergency procedures, site rules, hazards — recorded per person, per site:
- Granting — the site team records a completed induction against the person, optionally with a validity period; periodic sites (12-month refreshers) set an expiry, one-off sites don't.
- Enforcement — a site requiring person induction holds un-inducted workers at the gate and, where the requirement extends to operating, blocks their pre-starts on that site with a plain "not inducted here" message.
- Expiry is live — an induction past its validity confers nothing from that moment, whether or not anyone tidied the roster.
- Revocation — a Contributor or above revokes the person's site access in the console, from Site Inductions (the People tab); they drop to un-inducted on the spot. A Site manager's access needs an Administrator or the Account Owner to change or revoke. Site officers can see the roster in the Go app but can't revoke from it.
Equipment inductions
The machine-side sign-off: this machine, checked onto this site.
- Inducting — the site team inducts a machine onto the site, optionally against an induction checklist: with one attached, the machine sits pending until the induction check is completed; without one, it's inducted immediately.
- One site at a time — a machine holds at most one live site induction platform-wide. Moving site is a removal and a fresh induction; the history keeps both.
- What it does — an inducted machine is under the site's policies for every pre-start: the site's person-induction and toolbox requirements, and its zones. A machine on no site (free) skips site gates entirely and answers only to the always-on licence gate.
- Contractors' plant — inducting another organisation's machine requires an accepted contracting agreement between site host and contractor, and the induction records which agreement authorised it.
Toolbox talks
The daily (or as-needed) briefing, with attendance tracked:
- 1
Conduct the talk — from the site's toolbox page in the console, an org Contributor or higher records topic and notes and conducts it. One active session at a time; conducting a new talk makes the previous session's attendance stale.
- 2
Workers scan in — attendance is recorded by scanning the site kiosk, the same gesture as check-in. No separate app, no paper sheet.
- 3
Enforcement — where the site requires toolbox attendance, a worker who hasn't attended the current session is blocked (at check-in, and at pre-starts on the site) until they scan in. Attendance recency is time-boxed — the default window is 24 hours — so yesterday's talk doesn't satisfy today's requirement.
Note the role boundary: conducting a talk is an org-role action (Contributor or above). A site officer without the org Contributor role can run the roster and inductions but not conduct the talk itself.
Where each requirement bites
| Requirement | Enforced at |
|---|---|
| Person induction | Gate check-in, and pre-starts on the site (where required) |
| Equipment induction | What connects the machine to the site's rules at all |
| Toolbox attendance | Gate check-in, and pre-starts on the site (where required) |
A blocked worker or operator is always told which requirement is outstanding — the block screens name the missing sign-off rather than failing generically.
Seeing where your sites stand
Switch the sidebar toggle to Sites and the console's home page is the Site Dashboard. With All sites chosen it ranks every active site, the least ready first, with its machines, how many aren't ready, who is on site now, and the site inductions expiring and equipment inductions pending there. Pick one site from the All sites selector at the top and the page adds People on site now and Site compliance: the share of the site's roster inducted, checked in today and at today's toolbox talk, counted in the site's time zone.
Site compliance shows for Contributors and above. It reports status only: none of its figures stops or allows a pre-start, which only the requirements above do. Until October 2026 it was a separate Site Compliance page, and old links to that page now open the Site Dashboard.
Each count opens its list already filtered: site inductions expiring within 30 days open Site Inductions, and equipment inductions waiting for approval open the site's Equipment tab showing only those.
Edge cases
- Multiple site blockers at once — an operator missing both induction and toolbox sees both named together on the site, not a serial drip of surprises.
- A visiting operator from a contractor — site requirements are the host's: your operator on their site is held to their induction and toolbox rules.
- Lapsed equipment induction — a machine whose site induction has expired reverts to free: site gates stop applying, which is usually the prompt to re-induct rather than a loophole to enjoy.
Troubleshooting
| Symptom | Likely cause | What to do |
|---|---|---|
| Worker blocked "not inducted" despite training | The induction wasn't recorded, or it expired | Record (or refresh) the induction on the site roster |
| Operator blocked on toolbox mid-afternoon | The current session started after they scanned | Scan the kiosk for the current session |
| Machine stuck "pending" on the site | An induction checklist is attached and incomplete | Complete the induction check, or induct without a checklist |
| Can't conduct a toolbox talk | Site role only — conducting needs org Contributor+ | Have an org Contributor conduct; officers manage the roster |
| Contractor's machine can't be inducted | No accepted contracting agreement | Put the agreement in place first |
